Short videos and step-by-step help with signing in and setting up your authenticator app, on a phone or a computer. The videos use an example account, so every name and detail in them is made up.

Setting up your authenticator (first time only)

The first time you sign in, usually from the invitation email RRS sends you, you link an authenticator app to your account. It keeps your account safe even if someone learns your email or password.

  1. The first time, open the invitation email from RRS and tap the link.
  2. You'll see Secure your RRS account. You need an authenticator app, such as Microsoft Authenticator or Google Authenticator.
  3. On a computer you'd scan this QR code (blurred in this video). On your phone, you can't scan your own screen.
  4. So tap Can't scan the code?
  5. This setup key links the app to your account. Keep it private, like a password.
  6. Tap Copy key.
  7. In your authenticator app, add an account and choose to enter a key. Paste the key, then add it.
  8. Some apps can add the key for you: try Open in authenticator app.
  9. The app now shows a 6-digit code for RRS Portal.
  10. Type it into Authenticator code and choose Verify and continue.
  11. Done. Next time you sign in, you'll just type the code from the app.

Good to know

  • The code changes every 30 seconds. If it's about to change, wait for the next one.

If something goes wrong

  • “That email and password don't match an RRS account.” Check both, or use a secure email link instead.
  • “That sign-in link didn't work.” Links expire, work once and must be opened in the same browser you asked from. Request a new one.
  • Invitation link expired? Ask your RRS Advocate or your usual RRS contact to send it again, then use the newest email: earlier links stop working.
  • Your code isn't accepted. Check that the time on your phone is set automatically, then try the newest code.
  • Lost your phone or authenticator app? Contact your RRS Advocate or your usual RRS contact. RRS will call you back on the phone number it holds to check it's you, then reset it. You'll set up a new one at your next sign-in.
  • “You were signed out because the portal hadn't been used for 15 minutes.” Sign in again. Anything you hadn't saved is lost, so on a long Passport section choose Save draft as you go.

Keeping your account safe

  • Never share your password, sign-in links or authenticator codes with anyone, including RRS staff. RRS will never ask for them.
  • Choose Sign out at the bottom of the menu when you finish, especially on a shared computer.
  • The portal also signs you out by itself after 15 minutes without use. Clicking, typing and scrolling all count as use, in any tab. It asks Are you still there? 2 minutes before, so you can choose Stay signed in and carry on.

After you sign in

Every portal has a Help page in its menu, with short videos and steps for the things you do there.
